Overview
Under the guidance of the Sales & Marketing Director, you will have prime responsibility for ensuring customers are fully satisfied in relation to their requirements for the provision of quotations and placement of orders for spare parts and services. You will be expected to work closely with other sales and service team members as well as the Procurement and Finance teams to ensure customer requirements are fully met.

You will be based at the companys site in Bridgend, South Wales and can expect to achieve a salary of up to £22,000. Hours of work are Monday-Thursday 08:30-17:00 and Friday 08:30-13:30.

 

The Role
To act as a key point of contact between customers and the companys operations to facilitate the placing and processing of customer orders. Providing information to both internal and external parties, responsible for preparing and submitting quotes and managing sales orders via customers’ procurement teams and portals. Ensuring customers’ needs are met effectively and in a timely manner. Maintaining accurate and up to date information on customers on the company’s CRM database.
You will be responsible for:
• To act as a primary point of contact within the sales team for customers’ incoming enquires.
• To maintain contact with customers, particularly key accounts, by telephone and email to maintain good working relationships.
• To gather, record and process information on customer requirements to generate service and spare parts quotations.
• To coordinate and pass information to other team members across the company, as required, to enable customer requirements to be analysed and responded to correctly, including liaising with Customer Services to understand the availability of resources and parts.
• To maintain a clear picture of all concurrent customer enquiries and requirements and to manage these to ensure they are followed through and responded to efficiently and in a timely manner.
• To maintain an awareness of all outstanding quotations and to systematically follow up on these to expedite the receipt of orders.
• To maintain the quote log and enter data and sales leads into the CRM system and generate reports and forecasts when required.
• To process customer orders through to completion, including managing any adjustments; set up Contract Reviews and generate the necessary paperwork for Service and Finance Departments.
• During the quotation process to check inventory levels and follow up with Purchasing if parts are not available.
• Managing sales returns, processing and monitoring Credit Sales Orders, including liaising with other Departments and Customers as necessary.
• Support the China Office, processing and administration on all paperwork for quotes and sales orders and general Access enquires and to set up prices, parts etc. as required.
• Support the USA office as required.
• Setting up prices in Access and MPL.
• Working with Finance to resolve problems with monies/inventory/shipping against sales orders.

• To assist set up, maintain and improve company processes, procedures and systems.
• To undertake general duties, including telephone answering, receptionist duties and other support tasks as required.
• To undertake any other tasks that are within the capability of the job holder

 

The Person
• Strong written and verbal communication skills are essential to engage with internal and external contacts.
• Accuracy and a high level of attention to detail with proven ability to multi-task, organise and plan own time to meet deadlines.
• A positive attitude and the ability to work effectively both within a team and independently.
• Competent user of Microsoft applications including Word, Excel and Outlook.
• Previous experience in a similar role is desirable.
